What SMEs Should Ask Before Giving Internal Data to an AI System

Before connecting any AI tool to internal data, a business should be able to answer a short list of questions: What data is actually required for this workflow — not what’s convenient to hand over? Where does that data live, and who else can currently see it? What does the vendor’s terms say about retention and training use? Is there a way to test this with synthetic or low-sensitivity data first?

None of this requires a compliance department. It requires treating “give the AI access” as a real decision, not a checkbox. The businesses that get burned aren’t usually the ones being careless on purpose — they’re the ones who never asked the question at all before flipping the switch.

This is also why a credible AI recommendation should never claim a platform is inherently “secure” for every kind of data. The right answer depends on what data, what workflow, and what’s actually at stake — assessed case by case, not assumed.
